Vestaburg School District—Position Description

 

Position Title:     Business Manager

Reports To:         Superintendent 

To assure the smooth, efficient and accurate operation of the office so that the office’s maximum positive impact on the educational system can be realized as an effective part of the educational process.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

 

  • Prepare invoices, check extensions, make bill list and write checks for the general fund,

activity, lunch and Debt funds.

  • Reconcile general, activity and debt bank statements.
  • Prepare Budgets (General Fund, Food Service Fund, Debt Funds) and amend Budgets in November, March, and End of Year Final Budget
  • Prepare employee information for payroll, reconcile absences and process payroll.
  • Operate a calculator, computer and any other office machines.
  • Maintain all lunch reports and records.
  • Proficient in all current district standard software as listed on the web (List website School

district website where software is listed).

  • Keep Superintendent updated on financial changes due to new bills passed or changes in

the economy.

  • Report to the Superintendent and board on budgets.
  • Process and approve purchase orders.
  • Prepare reports such as FID, Tax Levies, Transportation Report SE-4094, Special Ed report SE-4096, Pupil Accounting MSDS, SRM, Section 25e, Bond Issue Documents and Reports. EFT Monthly Sales Tax, Annual Qualifying Statement, Annual Disclosure, Quarterly Medicaid Reports, MAER Report, Bus Inventory report SE-4107, Indirect Cost DS-4513, TSDL report, CRDC Report, Request Title Funds, Final Expenditure Title Reports. Wire Transfer for debt funds. Help with Day/Clock Hours documents and reports.
  • Reconcile grant expenditures and request funding from State.
  • Maintains daily bank balances and transfers.
  • Reconciles District bank accounts.
  • Responsible for the annual audit.
  • Knowledge and practical experience working with public school budgets.
  • Knowledge of Michigan Public School Accounting Preferred
  • Prepare Tax Levies
  • Knowledge of CIMS Financial Account System Preferred
  • Knowledge of PowerSchool Preferred
  • Knowledge of MSDS (Michigan Student Data System) Preferred

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

 

High school graduate with associates required or bachelor’s degree preferred with 3 years of accounting/bookkeeping experience preferred.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

 

None.

 

LANGUAGE SKILLS:

 

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before vendors, administrators, and staff.

 

MATHEMATICAL SKILLS:

 

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Must be accurate and be able to balance accounting ledgers.

 

REASONING ABILITY:

 

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

OTHER SKILLS AND ABILITIES:

 

Ability to work with minimal supervision. Have a positive attitude in working with staff members, vendors, and community members. Ability to pass a typing test at 60 words per minute and use a calculator accurately. Ability to operate general office equipment, personal computer, and related software. Basic knowledge of accounts payable and accounts receivable processes. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
